Global Roles
This section explains how to create, edit, and manage Global roles within Observv. Global roles define what actions users can perform across all properties within the organization. They are essential for maintaining a consistent and secure structure, ensuring that users have the appropriate level of access to perform their responsibilities effectively.
Global roles overview
A Global role in Observv is a set of permissions that apply organization-wide, governing what users can do across all properties. Roles are hierarchical, organized into a pyramid structure with sponsoring and sponsored roles. Each branch of the hierarchy is confined to the administration of its own branch so that members cannot edit roles in parallel branches. Sponsored Roles can only be created to reflect lower role levels than the sponsoring role. Each sponsored role contains a subset of the permissions of the sponsoring role, which are optionally granted.
Global Role Levels, from most senior to junior;
- Account Owner (can manage everything. Exclusively manages subscription to data services, like Managing Director)
- Account Manager (can manage everything in their branch, like head of department)
- Team Manager (the most junior role that can invite new members to the organization, like HR Director. Managing Projects, Tours & Markers are optional)
- Global Content Manager (Can manage content including properties, floors, hotspots, and photos. Managing Projects, Tours & Markers are optional)
- Global Uploader (Can upload photos. Managing Floors and Hotspots are optional. Viewing photos marked as sensitive is optional)
- Global Viewer (Can view photos. Viewing photos marked as sensitive is optional)
Key characteristics of Global roles:
- Organization-wide scope: Global roles are across all properties, floors, and hotspots in your organization, providing users with permissions at a high level.
- Hierarchical structure: Roles are organized in a pyramid-like hierarchy, with every role sponsored by a higher-level role (except the account owner, who is at the top).
- Branch-specific permissions: Each role is confined to its branch, ensuring users can only manage roles and permissions within their own department, team, or region.
- Customizable access: Global roles are tailored to specific responsibilities, ensuring users have the tools they need without unnecessary or unauthorized access.
How To
Create a global role
| There are 2 ways to create a role |
Method 1: Create a sponsored role from the main roles page |
| Click the Manage icon. |
| Select Global roles. |
| Select the Create sponsored role button. |
| In the pop-up window, input: |
| Sponsoring Permission Set Select form the list, an existing role to serve as the sponsoring role. |
| Click Next. |
| In the pop-up window, input: |
| - Role name: Enter the name of the role. |
| - Level: Assign a level to the role. |
| Click Create role. |
Method 2: Create a sponsored role from an existing role |
| Click the Manage icon. |
| Select Global roles. |
| Navigate to the role you want to use as the sponsored role. |
| Select the Create sponsored role button. |
| In the pop-up window, the current role will be selected as the sponsoring role. |
| - You can change the sponsoring role if needed by selecting a different one from the dropdown list. |
| Click Next. |
| In the pop-up window, input: |
| - Role name: Enter the name of the role. |
| - Level: Assign a level to the role. |
| Click Create role. |
| NOTE: A role is a container for specific permissions that outline what a user can do within ObservV. Users are assigned to roles appropriate to their job functions. |
| Roles in ObservV are organized hierarchically, with every role having a sponsoring, more senior role, except for Account Owners, who sits at the top of the hierarchy. |
| Sponsored Roles can only be created to reflect lower role levels than sponsoring role. Each sponsored role contains a subset of the sponsoring role which are optionally granted. |
| Each branch of the organizational "pyramid" represents a distinct chain of command within specific departments, teams, or regions. |
| Members can only make administrative changes to roles below them in their own branch. |
| They cannot edit roles in parallel branches, even if they are more senior, ensuring a clear separation of powers and preventing cross-functional interference. |
| Authority flows strictly top-down within each branch, maintaining regulated control within different parts of the organization. |
Edit a global role
| Click the Manage icon. |
| Select Global roles. |
| Navigate to the role you want to edit. |
| Click the Edit role button. |
| In the pop-up window, edit the following fields: |
| - Role name: Edit the name of the role. |
| - Level: Edit the level of the role. |
| - Select or deselect optional features for the chosen level. |
| Click Save to apply the changes. |
Delete a global role
| Click the Manage icon. |
| Select Global roles. |
| Navigate to the role you want to edit. |
| Click the Edit role button. |
| In the pop-up window: |
| - Click the Delete role button. |
| Confirm that you want to delete the global role. |
Add or remove a member in a global role
| Click the Manage icon. |
| Select Global roles. |
| Navigate to the role you want to edit. |
| To Add a member: |
| - Click Add members, search for and select the members you want to add. |
| - Click Add members to confirm. |
| To Remove a member: |
| - Click the Trash icon next to the member's name. |
| Confirm the deletion by selecting Delete in the pop-up confirmation window. |
| NOTES: |
| 1) You can only add or remove members in roles that are in your branch, so, sponsored roles and below. |
| 2) An exception to this rule is Account Owners can add and remove members to their own role. |
