Projects

Projects in Observv are designed to facilitate collaboration by allowing observv members to contribute mobile phone photos and attach them to 360° photos. Whether tracking progress, documenting work, or collecting input from members, Projects provide a centralized and structured way to manage these contributions effectively. Projects are a powerful collaboration tool that puts your employees and contractors on the same page, without sharing unnecessary photos from other areas of your property. The comment feature limits @mentions to project members for instant and personalised communications on every photo.

Projects overview

Projects in Observv are designed to document and manage the work being done within specific areas of property. They provide a collaborative framework where photos are uploaded, attached to 360° images, and organized to capture progress and actions in real-time. Every Project has a limited number of hotspots (defined scope), and within each, only select “initial photos” are added for all Project members to see. Projects also have optional expiry dates

Built to bridge the gap between observation and actionable insights, Projects use geospatial context to record the who, what, when, where, why, and how of every activity. By integrating hotspots, photos, and role-based permissions, they create a comprehensive timeline of work while fostering accountability and collaboration.

Projects ensure that every photo and action is documented in a meaningful way, giving members the clarity needed to make informed decisions and track the evolution of a property.

Limitations: 

  1. Projects cannot be deleted
  2. Projects can only be shared with other project or property members (subject to permissions)
  3. Photos cannot be in edited inside Projects (Editing is done in Properties, by Members with Property Content Manager and above Roles)

What happens when a project expires

When a Project expires, commenting on photos in the Project is no longer possible. Commenting on the same photo in the Property remains available.
Externals (anyone with no Organization role) lose access to the Project and all photos within it.
Organization members who do not have Manage projects permissions also lose access if they were members of the Project. Organization members with Manage projects permissions can still view and edit the project but cannot upload photos, add members, or comment unless the expiry date is extended.

Project roles

One of the following roles can be assigned when adding a member to a Project:
- Project Manager: Full editing access to all areas of the project, including managing members and settings.
- Team Leader: Can add new Uploaders but has no control over project settings. Team Leaders cannot upload photos to a hotspot in a project, they can only upload attached photos
- Uploader: Can upload photos only, with no editing or management capabilities. Uploaders cannot upload photos to a hotspot in a project, they can only upload attached photos

How To

Create a project

Projects can only be created by property content managers, and above, subject to permissions
Click the Projects icon.
Select the Create Project button.
Select the Property you want to create a project in.
In the Details tab, fill out the following fields:
- Project Name: Enter a title for your project.
- Project Description: Provide a brief description of the project.
- Select an Expiry date or choose This project does not expire.
Once details are filled in, click Next.
In the Structure tab, select the floor and the hotspots you wish to include in the project:
Select the floor and then select the hotspots.
- A Green hotspot means it is included in the project.
- A Red hotspot means it is not included in the project. 
Add photos to the hotspots by clicking Add photos for each included hotspot.
Once all hotspots and photos are selected, click Next.
In the Members tab:
Select the Add members button to add members to the project.
Select Add members to confirm.
Select a role for each member:
Click View project to save and close the project editor.

Edit a project

Click the Projects icon.
Select the Project you want to edit.
Click the Edit button.
In the Details tab, update the following fields as needed:
- Project Name: Edit the title of the project.
- Project Description: Edit the description of the project.
- Expiry date: Edit the expiry date or choose if the project never expires.
Click Save to save changes.

Add or remove a hotspot in a project

Click the Projects icon.
Select the Project you want to modify.
Click the Edit button.
Navigate to the Structure tab.
To Add a hotspot:
- Click on the Red hotspot (not currently included) to turn it Green (included).
To Remove a hotspot:
- Click on the Green hotspot (included) to turn it Red (not included).
Click View project to save and close the project editor.

Add or remove a photo in a project

Click the Projects icon.
Select the Project you want to edit.
Click the Edit button.
Navigate to the Structure tab.
Select the floor and hotspot where you want to add or remove a photo.
To Add a photo:
- Click Add photos for the chosen hotspot and select the photos you want to include.
To Remove a photo:
- Click Add photos for the chosen hotspot and select the photos you want to remove.
Click View project to save and close the project editor.

Add or remove a member in a project

Click the Projects icon.
Select the Project you want to modify.
Click the Edit button.
Navigate to the Members tab.
To Add a member: 
- Click Add members, search for the user, and assign a role (Project Manager, Team Leader, Uploader).
To Remove a member: 
- Click the Trash icon next to the member's name.
Click View project to save and close the project editor.

Change a members role in a project

Click the Projects icon.
Select the Project you want to modify.
Click the Edit button.
Navigate to the Members tab.
- Locate the member whose role you want to modify.
- Click the drop-down menu next to their current role.
- Select the new role
Click View project to save and close the project editor.

Upload a photo to a hotspot in a project

Upload to hotspot is available to project managers only (other members can only attach to parent photos)
Click the Projects icon.
Select the Project containing the hotspot you want to upload a photo to.
Navigate to the Hotspot you want to upload a photo to.
Click the Upload button within the hotspot.
Select the photo(s) from your gallery. We recommend using a 360 photo.
In the popup window, input:
- Photo name: Enter the photo's name.
- Comment: Optionally, add a comment on the photo.
Click the Upload button to save the photo(s).
When asked "Do you want to upload another photo?", select Yes or No as appropriate.

Edit a project photo

Photos cannot be in edited inside Projects. (Editing is done in Properties, by Members with Property Content Manager and above Roles)

Upload attached photos

Click the Projects icon.
Select the Project you want to attach photos to.
Open the Photo you want to attach photos to.
Click the Attach photos icon on the photo.
- A green highlight over the icon indicates Attach mode is ON
- No green highlight means Attach mode is OFF.
Click anywhere on the photo where you'd like to attach the photo.
Select the photo(s) from your gallery.
In the popup window, input:
- Photo name: Enter the photo's name.
- Comment: Optionally, add a comment on the photo.
Click the Upload button to save the photo(s).
NOTE: Once a photo has photos attached to it, it is known as a Parent photo.
When asked, "Do you want to upload another photo?", select Yes or No as appropriate.
Selecting Yes will upload any subsequent photos to the area on the photo previously selected.
Select No if you want to add photos to a different location on the photo.
Click the Attach photos icon to turn off Attach mode once you've finished uploading photos.

Delete a project

Projects cannot be deleted.

Share a project

A project and only be shared with other project or property members (subject to permissions).
You can grant access to others by assigning them a role within the project.
