Property Roles
This section provides a guide to creating, editing, and managing Property roles in Observv. Property roles determine what actions users can perform within a specific property, ensuring access is tailored to their responsibilities. By defining ‘Property roles’, user permissions can be controlled at the property level, allowing for secure and efficient management of the organization's resources.
What is a property role?
A ‘Property role’ in Observv defines the permissions a user has within a single property. Unlike ‘Global roles’, ‘Property roles’ are specific to one property and do not apply across the organization. Roles are hierarchical, organized into a pyramid structure with sponsoring and sponsored roles. Each branch of the hierarchy is confined to the administration of its own branch so that members cannot edit roles in parallel branches. Sponsored Roles can only be created to reflect lower role levels than the sponsoring role. Each sponsored role contains a subset of the permissions of the sponsoring role, which are optionally granted.
There are three Property Role levels;
- Property Content Manager (Can manage content including properties, floors, hotspots, and photos. Managing Projects, Tours & Markers are optional)
- Property Uploader (Can upload photos. Managing Floors and Hotspots are optional. Viewing photos marked as sensitive is optional)
- Property Viewer (Can view photos. Viewing photos marked as sensitive is optional)
Key characteristics of ‘Property roles’:
- Property-specific scope: ‘Property roles’ are limited to a single property, ensuring users only have access to the features and data relevant to that property.
- Sponsorship requirement: ‘Property roles’ are always sponsored by the user creating them, and the sponsoring permission set cannot be changed.
- Customizable access: ‘Property roles’ are tailored to the needs of the property, allowing users to perform their job while restricting access to unrelated features or properties.
- Expirations: ‘Property roles’ can be set with expiry dates, ensuring temporary roles automatically deactivate after a set period.
- Exception: Top-level ‘Property roles’, which are created by Global Role members, are not treated as part of that Global Role Branch - instead, they can be edited by any Global Role Member with the necessary permissions. This means that, only Uploader and Viewer Roles that are nested under a Property Content Manager Role have sponsors. Therefore, Property Content Manager roles do not have a sponsoring role; they only have a creator who must be a Team Manager or above.
How To
Create a property role
Click the Properties icon.
Select the Property you want to create a role in.
Click the Permissions icon.
Click the Create new role button.
The pop-up window will show your Sponsoring permission set.
NOTE: Property roles do not have Global Role sponsors, so they can be edited by anyone with in appropriate global role.
You cannot select a different sponsoring role set as you can with global roles.
In the pop-up window, input:
- Role name: Enter the name of the role.
- Level: Select the role level from the list.
- Expiry: Select an expiry date
Click Create role.
NOTE: A property role in Observv defines the permissions a user has within a specific property, allowing them to interact with features relevant to their property while restricting access to other properties.
Edit a property role
Click the Properties icon.
Select the Property you want to edit the role in.
Click the Permissions icon.
Navigate to the role you want to edit.
Click the Edit role button.
In the pop-up window, edit the following fields:
- Role name: Edit the name of the role.
- Level: Edit the level of the role.
- Select or deselect optional features for the chosen level.
- Expiry: Edit the expiry date
Click Save to apply the changes.
Delete a property role
Click the Properties icon.
Select the Property you want to edit the role in.
Click the Permissions icon.
Navigate to the role you want to edit.
Click the Edit role button.
In the pop-up window, click the Delete role button.
Confirm that you want to delete the property role.
Add or remove a member in a property role
Click the Properties icon.
Select the Property you want to edit the role in.
Click the Permissions icon.
Navigate to the role you want to edit.
To Add a member:
- Click Add members, search for and select the members you want to add.
- Click Add members to confirm.
To Remove a member: - Click the Trash icon next to the member's name.
Confirm the deletion by selecting Delete in the pop-up confirmation window.
